Billing & Plans

AllyProof uses Paddle as merchant of record — Paddle handles checkout, tax, and invoicing; AllyProof reflects the current subscription state and exposes lifecycle controls inside Settings → Billing.

Signing up and starting a plan

New accounts start on Free. To subscribe to a paid plan, pick a tier and billing cycle on /pricing. If you're already signed in, the “Start” button opens the Paddle checkout overlay directly. If you're signed out, the chosen plan and period carry through signup, and the checkout overlay opens as soon as email confirmation lands.

Every paid plan starts with a 14-day free trial managed by Paddle. A valid payment method is required at signup to start the trial — your card is not charged during the trial window. If you don't cancel before the trial ends, billing begins automatically at the rate of the plan you selected. Promotional codes are accepted at checkout.

Changing plans

Settings → Billing has a Change plan button. Picking a new tier or switching between monthly and annual shows a preview of the prorated charge or credit before you confirm.

  • Upgrades take effect immediately. Paddle prorates the difference and charges the card today; the new site-limit, page-limit, and feature access unlock right after the checkout webhook lands (seconds).
  • Downgradesare scheduled for the end of the current billing period. You keep everything you've already paid for until cycle end, then the plan flips and quota follows. The billing card shows a “Downgrades on DATE” banner while the change is pending, and a one-click Cancel downgrade action reverts it at any time before the scheduled date.
  • Cycle swap (monthly ↔ annual on the same tier) prorates immediately like an upgrade.

Cancelling and resuming

A cancellation is always scheduled for the end of the current billing period — you don't lose access the moment you click. Until the effective date:

  • The subscription card shows a “Cancels on DATE” banner.
  • A Resume button reverses the cancellation in one click.
  • All paid features continue to work exactly as before.

On the effective date, Paddle finalizes the cancellation and AllyProof drops the organization back to the Free tier — 1 site, 25 pages per scan, 15 scans per month. Historical scans and VPAT drafts are preserved (subject to the Free tier's 90-day retention), but features like AI fixes, statements, and the CI/CD API stop working.

Payment failures

If a renewal charge is declined, Paddle retries on its schedule and AllyProof sends a Payment failed email immediately. The subscription status switches to past_due— the card shows an orange indicator in Settings → Billing, and the Update-payment-method link opens Paddle's hosted card-update flow. If every retry fails, Paddle cancels the subscription and the org moves to Free as above.

Renewal reminders

Five to seven days before the next renewal charge, AllyProof sends the owner (and any Billing seat) a Renewal upcomingemail with the amount, currency, and renewal date. No action needed if nothing's changed — the email is a heads-up so you're not surprised.

Invoices

Every transaction Paddle records on the account is listed under Settings → Billing → Invoices & transactions. Each row links to a Paddle-hosted PDF invoice you can download for your records. A daily reconciliation cron cross-checks your Paddle subscription state against our view and corrects any drift automatically — so what you see in the table always matches what your card was charged.

Who can manage billing

Only the organization Owner can change the plan, cancel, or resume. Billing role seats see the billing page and invoices but cannot reach sites, scans, or issues — designed for finance / procurement users whose job is to pay invoices without access to customer data.

Plan override (support-only)

If AllyProof support grants your organization temporary access to a higher tier for evaluation or compensation purposes, the paid planstays exactly what your card is billed for — the upgraded features simply unlock as long as the override is active. The billing page always shows the actual paid plan, never the override, so there's no confusion about what you're paying for.
